Coordination of a thematic issue

Paléorient may publish thematic issues. In such cases, each thematic issue must be coordinated by one or more individuals.

The distribution of roles

The coordinators of the special issue, who developed its theme, are responsible for liaising with the authors and members of the Editorial Board. They ensure that the articles align with both the journal’s scope and the specific focus of the issue.

They are external to the Editorial Board. If either an issue coordinator or an author of an article is a member of the Editorial Board, that person will not take part in the evaluation of their own text.

The coordinators oversee the progress of the thematic issue, from its submission to the Editorial Board through to the production of the articles. They act as the main point of contact for the authors and for the Editorial Board members appointed as referees for the articles in the special issue. They must regularly inform the directors and the Editorial Board of the issue’s progress and commit to adhering to the established publication schedule.

Once the issue has been structured, the coordinators write the introduction and the table of contents.

Article review process

The coordinators must inform the directors and the Editorial Board as early as possible of their intention to compile a thematic issue, and ideally provide them with an outline of the issue. This may involve clarifying—during a dedicated meeting, for example—each person’s roles and responsibilities, the journal’s procedures, and the expected content and format of the articles.

The coordinators ensure that the submitted manuscripts comply with the journal’s guidelines provided to the authors, including structure, presentation, required length, and the inclusion of titles, abstracts, and keywords in both French and English.

Each article is assigned to a member of the Editorial Board who will oversee its evaluation.

The decision regarding peer review falls under the responsibility of the Editorial Board, although coordinators may suggest external experts for each article. If coordinators wish to manage this stage themselves, they must inform the directors in advance.

Draft versions of the articles are submitted for peer review. If reviewers express significant reservations, the article is rejected. If the reviews are contradictory (unpublishable/highly valuable), the article is submitted for a new evaluation. The directors also reserve the right, after consulting the Editorial Board, to reject any article deemed inconsistent.

Any article, even within a thematic issue, is always evaluated individually (like a regular article). Acceptance of the thematic issue does not imply acceptance of all the articles it contains.

Authors, who are informed by the coordinators of the reviewers’ opinions, are free to follow or disregard the reviewers’ suggestions when revising their text, but are required to justify their decisions if they choose not to accept the corrections.

For each issue, a deadline is set for the submission of both draft and final versions. Any article, whether a draft or final version, received after this date will not be published.

Initial submissions must include an abstract of no more than ten lines, in both French and English, to be placed after the title and the author’s name. This abstract should outline the institutional context of the research, its disciplinary field, theoretical framework, the research question it addresses, the specific aspect of the research on which the article focuses, and its key contributions. Authors must submit an electronic version to the issue coordinators. Once all files have been collected, the coordinators will then forward the revised articles to the directors.

The editor then sends authors the proofread version of their article, formatted according to the journal’s guidelines, for review and any necessary corrections. Once the articles have been approved by their authors, they will be laid out and published both online and in print.
